Job Summary

The Resident Relations Manager/ Specialist Hybrid Role (RRM/ RRS) provides in-market leasing and community managerial support for the POD in all aspects of field-level operations for the assigned area of homes. This includes monitoring and evaluating ongoing operational activities for stabilized homes. The RRM/RRS is responsible for ensuring a smooth transition into a Progress home that will set the expectation of what the resident is responsible for during their residency.  They are the conduit that provides the new resident with appropriate contact information to key personnel in the market and organization They are responsible for delivering the customer service experience and assists with rent collection, marketing, leasing, showings, application gathering, resident inquires and maintenance resolution.

Essential Functions

  • Optimize financial performance for the assigned community/area by assisting with leasing, rent, occupancy and lease-up goals.

  • Assist in creation and circulation of weekly, monthly, quarterly and annual reporting.

  • Assist with revenue and debt collections by monitoring cash collections.

  • Monitor expenses and communicate observations to POD to promote efficiency with turns and service delivery.

  • Manage available inventory through timely communication of construction delivery schedules, as applicable, to appropriate IT and software support departments.

  • Maintain and communicate knowledge of the competitive market, including, rents, available product, neighborhood characteristics and general economic trends.

  • Provide outstanding customer service and timely responses to customer requests.

  • Manage the customer experience by conducting home cataloguing, move-in inspections, move-in orientations, warm call follow-ups and pre-move out calls.

  • Ensure each home is clean, marketable and accessible by conducting weekly property inspections and light cleanup of grounds and individual vacant homes.

  • Conducts pre-move in inspection, two days prior to move-in date, and completes minor items/submits service requests.

  • Identifies any issues, removes sign, re-key the home and puts keys back into the lock box.

  • Confirms lease has been signed and all move in monies have been collected prior to the move in date.

  • Re-schedules move-in if all documentation and move in monies have not been paid.

  • Demonstrate basic/light maintenance and repair skills for completing minor service items such as re-keying smart locks and changing smoke detectors and/or batteries, light bulbs and air filters.

  • Performs occupancy checks as needed on homes suspected of skip or on eviction; to include taking photos and communicating home status to POD and posting abandonment notices.

  • Ensure that all policies and procedures are followed to enable assigned community/area/homes to function according to quality standards, township standards and operating objectives.

  • Travels between properties in a punctual fashion to meet with utility company representatives, township inspectors, etc.

  • Carry out other assigned duties that are in the best interests of the company.

Human Resource Management

  • Coordinate and manage available resources to maximize the efficiency and consistency of processes.

  • Ensure all training requirements, including Progress ED, are completed on time.

  • As directed by the POD, assist with mentoring, development plans and performance improvement plans.

  • Ensure staff compliance with all safety standards and related training requirements.

Qualifications

  • Minimum 2 years of progressive property management experience or in either the single family or multi-family rental industry required

  • Real Estate license preferred

  • Knowledge of basic/light maintenance with the ability to lift up to 50 pounds

  • Knowledge of local area required.

  • Must have a valid Driver’s License and a clean driving record.

  • Ability to build and maintain positive relationships internally and externally

  • Possesses strong organizational skills; detail oriented

  • Ability to thrive in a dynamic, fast-changing, growth environment

  • Excellent oral and written communication skills

  • Computer literacy, ability to comfortably navigate new technology and competency in MS Office suite a must

  • Previous use of Yardi Voyager and Salesforce a plus
