Position Summary:

The Administrative Assistant/Office Manager provides general facilities, clerical and administrative support to the Progress Residential office and its national operations.  Including assistance with a diverse set of matters and projects. This is a fast-paced role with a variety of tasks associated that necessitates someone with high agility, professionalism and being comfortable in a rapidly changing environment. This role is key in supporting all employees and contractors with their day to day business needs.

Essential Functions:

  • Manages all incoming and outgoing mail and parcels.

  • Works with the Director of Facilities on national facilities projects which may include office remodels and/or office relocations and setting up facility vendors.

  • Acts as primary point of contact for office support vendors and updates and maintains vendor list.

  • Maintains office supplies and other consumable office products.

  • Maintains break room, lobby and conference rooms keeping them stocked and presentable.

  • Assumes reception responsibilities as required.

  • From time to time may be asked to assist with visiting executives and their daily needs, set up and tear down of meetings in conference rooms and assist with IT questions, caterings, supply orders and travel as needed.

  • Assist with internal and external meetings, including lodging and meeting accommodations for groups large and small.

  • Handle sensitive business and confidential information with discretion, tact, and diplomacy.

  • Support the organization in whatever capacity needed; embracing unexpected duties and projects as they arise.

  • Assist with planning and coordinating facility and/or employee celebrations and events.

  • May be asked to assist with coordinating travel arrangements, maintaining expense reports and other general administrative functions in a professional and personable manner.

  • Maintain confidential nature of information and documents processed

Qualifications:

  • High school diploma or equivalent with an Associates’ Degree a plus

  • Proven experience as an office assistant, virtual assistant or in another relevant administrative role

  • Ability to adapt to changing priorities in high growth environment

  • Intermediate to Advanced skills with Microsoft Outlook, Excel, and Word

  • Exceptional verbal communication skills, both by phone and in-person

  • Working knowledge of office equipment. (e.g. printers, scanners, inserters and postage meters)

  • Strong organizational and planning skills

  • Commitment to excellent customer service to both internal and external customers

  • Ability to lift up to 50 pounds.

  • Must be able to stand for long periods of time
