Position Summary:
The Rental Registration Program Coordinator facilitates the operation of Rental Registration city requirements in Progress and PR3 managed homes, supporting the local markets/cities who require participation in the program to ensure licensing compliance by the program are being met, along with the goals, quality standards and operating objectives established by the Company and the compliance/legal team/property management team. This position provides support and daily management on all activities associated with the rental licensing program; including but not limited to accurate submittal of rental registration application/fees, coordinating inspections with the city inspectors and local markets, ensuring all rental registrations are up to date and on file, work orders are completed and submitted to inspectors for final approval of inspection, ensuring payments are received in a timely manner, and managed by different municipality for annual inspections are facilitated timely. The Rental Registration Program Coordinator will develop and build positive relationships with municipalities across the nation.
Essential Functions:
* Support the local markets by facilitating the daily operations of Rental Registration Program
* Ensure that all requirements by the specific municipality are being met
* Keep accurate records of all associated documents; including but not limited to, rental registration applications, fees payments, re-inspections, work orders, annual inspections, deficiency letters, and change of ownership/management
* Ensure that the specific municipality program receives all required documents and/or deficiency corrections in a timely manner to ensure rental licensing is always maintained and active
* Facilitate all inspections with the municipality inspectors and local markets for annual inspections, new move in’s and recertification's per the city requirements
* Ensure that the policies and procedures are followed
* Analyze processes and procedures to ensure optimum efficiency levels
* Be knowledgeable of provisions in standard lease documents and maintain a working knowledge of resident rules and regulations
* Be knowledgeable of all municipality program rules and changes to ensure compliance
* Develop positive relationships with municipalities across the nation
* Develop and maintain positive relationships with local market team members
* Carry out other duties as assigned that are in the best interests of the company while being a champion for Progress Residential’s Core Values.
* Human Resource Management
o Ensures outstanding customer service and is responsive to requests
o Coordinate’s activities to maximize the efficiency of all processes
o Ensure all training requirements, including Progress ED, are completed on time
Qualifications:
* High School Diploma or equivalent
* 2 or more years of previous property management experience in either the single family or multi-family rental industry
* Previous use of Yardi Voyager and Salesforce a plus
* Ability to build and maintain positive relationships internally and externally
* Possesses strong organizational skills and is detail oriented
* Ability to thrive in a dynamic, fast-changing, growth environment
* Fosters teamwork and mutual respect throughout the company
* Interacts productively in person and through technology with co-workers, team members
* Excellent oral and written communication skills
* Computer literacy, ability to comfortably navigate new technology and competency in MS Office suite a must
Physical Demands:
* Sitting for extended periods of time using office equipment and computers
* Moderate stooping, kneeling, crouching, reaching, standing
* May entail light lifting of supplies and materials occasionally, up to and including 25lbs
* Ability to talk, hear, compare, compute, compile, copy, analyze, coordinate, synthesize, negotiate and communicate
* Walking for extended periods of time
* Sustains substantially recurring movements to fingers, hands, wrist, legs and feet
* Ability to judge distances and spatial relationships
* Ability to identify and distinguish color
* Ability to distinguish the differences and similarities in odors
