The Project Coordination Supervisors (PCS) primary responsibility is to manage a team of Project Coordinators to ensure they schedule and track all initial renovations and manage the flow of information between the Acquisitions, Project Managers, Service, HOA, Utilities and Property Management departments. The Project Coordination Supervisors position plays a critical role in hiring, training and mentoring new Project Coordinators by ensuring they are compressing construction cycle times and administering the seamless transition of rent ready homes to the Leasing and Property Management teams.
Provides oversight to the Project Coordinators in all daily functions of the Renovation Team
Monitors Closing reports; ensuring Project Coordinators are awarding projects within 48 hours
Reviews AP reporting to promote timely invoice processing
Ensures the Acquisitions Analyst has the necessary information to maintain broker / seller agent relationships
Assists and facilitates communication between Acquisitions Analyst and Senior Project Managers to ensure company scoping due dates are being followed
Monitors scope of work is assigned to vendors in a timely manner
Trains new Project Coordinator team members in all aspects of their role
Ensures all PM daily tasks and appointments with brokers / agents for DD’s, and all make ready activities required to get a home rent ready within company timelines
Assists with assigning Scopes of Work to approved vendors within assigned market as needed
Analyzes market acquisition daily volumes to ensure all team leads are aware of potential scheduling challenges
Reviews invoices for accuracy and approval as needed
Works with Vendor Resourcing Department to onboard local vendors onto Progress Residential’s platform
Monitors the renovation progress to make sure all workflows are being completed according to company timelines and standards
High School Diploma or equivalent
Minimum 3 years of experience in construction project administration or property management administrative functions
Knowledge of the residential Building/Remodel construction industry a plus
Must have great organizational abilities with excellent oral and written communication skills
Proficient in MS Office suite of products, including Excel
Salesforce experience strongly preferred
Yardi experience strongly preferred
Ability to work in a fast-paced environment
Must have history of managing a minimum of 5 direct reports
Frequent sitting for extended periods of time.
Frequent use of multiple computer monitors
Frequent use of fingers.
Moderate stooping, kneeling, crawling, pushing, pulling, lifting, talking, and hearing.
Sustains substantially recurring movement to fingers, hands, wrists, legs, and feet.
Ability to judge distances and spatial relationships.
Ability to identify and distinguish color.
Ability to distinguish the differences or similarities in odors.
Ability to lift and/or move 25 pounds or more.
